How Early Should You Bring Your Production Partner Into the Planning Process?
8/28/26, 12:00 PM
Here's a scenario that plays out more often than we'd like to admit: a client calls us six weeks before their event. They've already booked the venue, set the agenda, printed the program, and confirmed the speaker lineup. Now they need AV. Can we make it work? Usually, yes. But can we make it great? That's a different question.
The truth is, the earlier you bring your production partner into the planning conversation, the better your event will be. Not slightly better. Significantly better. And in many cases, earlier involvement actually saves you money.
When is early? When is too late? This guide will help your timeline.
The Most Common Mistake: Treating AV as a Last-Minute Add-On
For a lot of event planners, audio-visual production gets treated like catering: something you sort out once the big decisions are made. The venue is locked, the layout is set, the schedule is finalized, and then someone says, 'Oh, we should probably get AV.'
We understand why this happens. AV can feel like a technical detail rather than a strategic one. But that framing is exactly where things go wrong.
The room you chose might have a low ceiling that limits your screen placement. The agenda your team spent weeks perfecting might have back-to-back segments with no buffer for transitions. The keynote speaker might be planning to run a video that nobody told us about. These are all solvable problems, but they're much easier to solve in month three than in week two.

What Changes When You Bring Us in Early
When Zynacore Event Solutions is involved from the start, a few important things happen that simply can't happen any other way.
First, we can help you choose the right venue for your goals. Not all spaces are created equal from a production standpoint. Room acoustics, ceiling height, available power, loading dock access, and rigging points all matter enormously. We can walk a venue with you before you sign anything and flag issues before they become expensive surprises.
Second, we can shape your rundown with technical reality in mind. A panel discussion, a video package, a live demo, a Q&A segment, and a keynote presentation all have different production requirements. When we understand your agenda early, we can make sure the technical setup actually supports how the day is going to flow, not just the parts you remembered to tell us about.
Third, we have time to source the right equipment. Availability of specialized gear, especially for large or unusual events, is not guaranteed. When we know what you need months out, we can plan accordingly. When you call us three weeks before a 500-person conference, we're working with whatever is not already committed elsewhere.
The Budget Conversation: Early Is Cheaper
One of the most persistent myths in event production is that bringing in your AV partner early will cost more. In our experience, the opposite is almost always true.
When we're involved early, we can help you make smarter tradeoffs. Maybe the venue you're considering charges a premium for house audio that we can bypass with our own system. Maybe there's a lighting setup that achieves the look you want for a third of the cost of what you were imagining. Maybe we can suggest a room configuration that eliminates the need for a secondary viewing area entirely.
Last-minute production is almost always more expensive. Rush delivery fees, overtime crew, expedited shipping, and the cost of re-doing things that were set up based on incomplete information all add up fast. The 'savings' from waiting rarely materialize.
Early planning doesn't add to your budget. It gives your budget more room to work.
A Simple Rule: Reach Out Before You Think You Need To
Our general guidance is this: contact your production partner at the same time you start seriously shopping for a venue. If you're twelve months out, call us at twelve months out. If you're six months out, call us at six months. Whatever your lead time, we want to be in that first conversation, not the last one.
You don't need a fully developed vision to reach out. In fact, it's better if you don't. The earlier you bring us in, the more we can contribute to shaping that vision rather than just executing it.
What to Have Ready for That First Call
You don't need to have everything figured out. But a few pieces of information help us give you useful guidance right away:
Your event date and expected attendance. Your general goals for the event (training, celebration, product launch, fundraiser, and so on). Any venue you're already considering or have confirmed. A rough sense of your production budget, even if it's a wide range. And any specific elements you know you want, like a live stream, a video wall, or a particular speaker setup.
That's it. From there, we can start asking the questions that help us build a plan that actually serves your event.
We're a Partner, Not a Vendor
At Zynacore Event Solutions, we're not interested in showing up the week before your event, setting up gear, and going home. We want to be part of making your event genuinely successful, and that means being involved in the conversations where the real decisions get made.
The clients we do our best work for are the ones who treat us like part of the team from the beginning. They ask us questions we haven't been asked before. They let us push back on ideas that won't work technically. They give us time to do things right.
We'd love to be that partner for you.
