AV Questions Every Corporate Planner Should Ask During the Site Visit

Feel confident on (and after) your next site visit.

Walk into your next venue walkthrough armed with the right questions — and walk out with zero surprises on event day.

The site visit is the single most important moment in your event planning process, yet most corporate planners spend it counting tables and checking bathroom locations. That's understandable. But if AV goes wrong on event day, no one will remember that the centerpieces were perfect.

The events that run smoothly almost always trace back to one thing: the right questions asked at the right time. Specifically, during the site visit.

Here's your field guide. Print it. Put it in your site-visit folder. Use it every time.


1. Power: What Are You Actually Working With?

Power is the foundation of every AV system, and venues wildly vary. A hotel ballroom that hosted a networking cocktail hour last week may not be wired to support the LED wall, production lighting rig, and 12-channel audio system your general session needs.


Ask: "How many dedicated 20-amp circuits are available in this room, and where are the breaker panels located? Is there single-phase or three-phase power, and can we run distro from the panel directly?"

Also ask whether the venue's in-house AV system shares circuits with your load. If the house sound system and your production gear are fighting over the same breaker, you'll find out at the worst possible moment. Get a venue electrical diagram if one exists.


Always have your AV production company calculate your total power draw before the site visit so you can match it against what the venue has available. Don't guess. Calculate.


2. Connectivity: Is the Internet Actually Fast Enough?

Every venue will tell you they have "high-speed WiFi." That phrase means almost nothing. A 50 Mbps shared connection might work beautifully for 30 guests checking email. It will fail the moment your keynote speaker tries to run a live product demo over it with 400 people also connected to the same network.


Ask: "What is the dedicated (not shared) bandwidth available for our event? Can we get a hardwired ethernet drop at the stage, the presenter position, and the tech desk? Is there a separate event VLAN we can use, isolated from the hotel guest network?"


If the event involves live streaming, remote presenters via video call, or real-time audience polling, also ask about upload speeds specifically, since most venue quotes advertise download speed only. And always confirm who to call if connectivity drops mid-event.


3. Acoustics: What Does the Room Do to Sound?

This is the question most planners never think to ask, yet acoustics are what separate a crisp, professional-sounding presentation from an echo-chamber disaster. Hard floors, glass walls, high ceilings, and concrete surfaces all create reverb that can make even excellent speakers unintelligible.


Ask: "Is there any acoustic treatment in this space? What are the ceiling materials (hard or soft)? Are there drapes, carpeting, or other sound-absorbing surfaces we can use? What's the room's typical reverb time?"

Also ask about noise bleed from adjacent spaces. A keynote next to a busy kitchen, a loading dock, or another event room is a recipe for unwanted audio. Ask what events are booked in neighboring rooms on your date, and whether the dividing walls are soundproofed or just partitioned.


Clap once loudly when you're in the room during the site visit. Listen for how long the echo trails off. That's your acoustic fingerprint, and it tells your AV team exactly what they're dealing with.


4. Rigging & Ceiling: Can You Hang Anything, and How High?

Ceiling infrastructure determines whether your event looks like a professional production or a school gymnasium setup. Rigging points are what allow screens, lighting rigs, speaker arrays, and truss systems to hang overhead rather than sitting on floor stands that block sight lines and eat up floor space.


Ask: "What are the certified rigging points in this room, and what is the weight capacity at each point? What is the trim height (the distance from the floor to the lowest safe hang point)? Is there a certified in-house rigger, or do we need to provide one?"


Trim height matters enormously for screen sizing. A room with a 12-foot trim height limits how large your projection or LED surface can be before it obstructs the audience view. Knowing this before you build your AV design saves you from redesigning the whole setup the week before the event.


5. Existing AV Infrastructure: What Stays, What Goes, and What Conflicts?

Most venues have a built-in AV system: house speakers, a projector, confidence monitors, a house mixing board. Some of this is useful. Some of it will actively interfere with what your production company wants to bring in. You need to know which is which before load-in day.


Ask: "Can we bypass the house audio system entirely if needed? Is there a patch point where we can feed signal into the house speakers rather than replacing them? Can the house projection system be fully disabled so it doesn't conflict with our screen and signal chain? Who owns the house system and who is authorized to operate it?"


Also ask whether the venue requires you to use their in-house AV vendor — some contracts mandate it. If so, find out the exact terms: Can you still bring your production equipment? Can your team operate the show, or does the house crew have to run it? These details belong in writing before you sign the venue contract.


6. Load-In & Logistics: How Does Your Gear Actually Get In?


An AV production for a 400-person corporate event can involve multiple trucks, thousands of pounds of gear, and a team that needs 6 to 10 hours to build before doors open. If the venue's loading dock is shared with hotel deliveries and closes at 5pm, that's your problem, not the venue's.


Ask: "Where is the loading dock or load-in entrance? Is it dedicated to our event, or shared? What are the dock hours, and can we arrange early access? Is there a freight elevator, and what are the interior dimensions? Can we fit an 8-foot truss section through it? Are there any restrictions on equipment weight in the ballroom?"


Walk the entire load-in path during the site visit. Measure any doorframes, elevator openings, and hallway widths that equipment will pass through. Surprises in this area don't just cost time. They can force you to rebuild your entire scenic design because a key piece can't physically enter the room.


Ask for 24-hour access to the space if you have a large production. The math on overnight load-in almost always beats rushing a complex setup in a compressed morning window.


7. Lighting: What Can You Control and What's Fixed?


Natural light is a corporate event's best friend for networking receptions and a merciless enemy for presentations and video. If your general session room has floor-to-ceiling windows on the south side, your projection will wash out completely, and your video camera shots of the stage will silhouette every speaker.


Ask: "Are there blackout shades or draping on the windows, and are they motorized or manual? What is the house lighting control system, and can our lighting director tie into it? Are there sections of the room where the existing architectural lighting cannot be dimmed?"


Also walk the room at the same time of day your event will run. A room that looks perfectly manageable at 9am during a site visit can be flooded with afternoon western sun by the time your 2pm general session begins. Sight lines and ambient light change dramatically across the day.


8. On-Site Support: Who's There When Something Goes Wrong?


Technology fails. Feeds drop. Cables go bad. The question is never whether something will go sideways. It's whether you have the right person on-site to fix it in under two minutes before the audience notices. "The venue has a contact number" is not a plan.


Ask: "Is there a dedicated on-site AV technician assigned to our event for the full duration, including setup, rehearsal, and show day? What is their specific role: do they operate the house system, or are they general tech support? If something fails during the main session, what is the venue's escalation process and how quickly can a replacement part or person arrive?"


Your production company will have its own crew on-site, of course. But knowing what the venue provides, and what they don't, helps you avoid gaps in coverage. Document every point of contact and their cell number before you leave the site visit.


The Site Visit Is Your Insurance Policy


Every question on this list represents a category of event-day disaster we've seen happen to planners who didn't know to ask it. Power trips. WiFi drops during a live demo. A keynote speaker who can't be heard past row 10. A truck full of gear that can't fit through the loading dock door.


None of those are bad luck. They're information gaps, and the site visit is your best chance to close them while there's still time to adapt.
